Settings

Settings is where you configure your Coline account, customize appearance, manage security, and control workspace preferences. Access Settings from the sidebar or by clicking your profile avatar.

Profile

Manage your personal information and account details.

Editable fields:

• Full name: Your display name shown to other users
• Username: Your unique identifier (used in mentions)
• Email: Your account email address
• Bio: A short description about yourself

Profile images:

• Avatar: Upload a profile picture. Use the cropper to adjust framing.
• Banner: Upload a header image for your profile page.

Working hours (Pro and Team plans):

• Set your typical work schedule
• Configure start time and end time
• Select which days you work (Monday through Sunday)
• Working hours help others know when you are available

Team

View and manage your team membership and invitations.

Team information:

• Current team name and details
• Total team members
• Pending invitations

Invite management:

• Send invitations by email address
• Generate invite links with customizable settings:
  • Role: Admin, Member, or Guest
  • Expiration: 7 days, 30 days, 90 days, or no expiry
  • Usage limit: Maximum number of times the link can be used
• View pending invitations
• Resend or revoke invitations

Multiple teams:

• Switch between teams if you belong to more than one
• Create new teams (Team plan required)

Security

Protect your account with password management and two-factor authentication.

Password:

• Change your password by entering your current password and a new password
• Password strength requirements are enforced

Two-factor authentication (2FA):

• Enable TOTP-based two-factor authentication for additional security
• Scan the QR code with an authenticator app (Google Authenticator, Authy, 1Password, etc.)
• Or enter the secret key manually
• Add backup authenticators for redundancy (up to 3 total)
• View enrolled authenticators with setup dates
• Disable 2FA if needed (requires confirmation)

When 2FA is enabled, you will be prompted for a code from your authenticator app each time you sign in.

Appearance

Customize how Coline looks.

Theme:

• Light mode: Bright interface for well-lit environments
• Dark mode: Reduced brightness for low-light environments or preference
• Toggle between modes with the theme switcher

Theme preference syncs across all your devices.

Desktop

Configure settings specific to the Coline desktop app.

Launch behavior:

• Launch at login: Start Coline automatically when your computer starts
• Start minimized: Open in the background (requires launch at login)

Keyboard shortcuts:

• Option + Space: Open Kairo (AI assistant)

Deep links: Open specific Coline sections from other apps or the command line:

• coline://chat: Open Kairo
• coline://calendar: Open Calendar
• coline://todo: Open Tasks

Notifications

Control how and when Coline notifies you.

Notification categories:

• Messages: DMs, mentions, replies, reactions, calls
• Mail: Important emails, calendar suggestions, to-do suggestions
• Calendar: Event invites, reminders, updates, cancellations
• Boards: Assigned cards, mentions, comments, due dates
• System: App updates, subscription changes, security alerts

Delivery channels:

• In-app notifications
• Push notifications (desktop and mobile)
• Email notifications

Email frequency: Choose how often to receive email notifications:

• Instant
• Hourly digest
• Daily digest
• Weekly digest

Do Not Disturb:

• Schedule quiet hours (e.g., 10 PM to 8 AM)
• Set quiet days
• Mute all notifications temporarily with duration options

Sound and vibration:

• Enable or disable notification sounds
• Enable or disable vibration (mobile)

Subscription

Manage your Coline subscription and billing.

Plans:

• Free: Basic features
• Pro: $9.99/month or $99.99/year. Includes working hours, CalDAV, and advanced features.
• Team: $12.99/month or $129.99/year per user. Includes team management, shared workspaces, and collaboration features.
• Enterprise: Custom pricing for large organizations.

Subscription management:

• View your current plan
• Compare plan features
• Upgrade or downgrade
• Switch between monthly and annual billing (save with annual)
• Access the billing portal to update payment methods
• View invoices and billing history
• Cancel subscription

New users may be eligible for a 14-day free trial of Pro or Team features.

Integrations

Connect external services to extend Coline functionality.

Connected services display:

• Integration name and icon
• Connection status
• Last sync timestamp
• Connect/Disconnect toggle
• Manual sync button

About

View information about your Coline installation.

System information:

• App version
• Operating system
• Browser
• Screen resolution

• Reset onboarding tours: See the product tours again
• Reset getting started guide: Restart the initial setup guide

Navigate Settings with the keyboard:

Tips

• Enable 2FA for stronger account security. Authenticator apps are more secure than SMS codes.
• Set working hours so teammates know when you are available and can schedule meetings accordingly.
• Use invite links for quick team onboarding. Set an expiration to limit exposure.
• Try dark mode if you work in low-light environments or prefer reduced eye strain.
• Check your subscription before needing a feature. Some integrations and advanced options require Pro or Team.
• Review connected integrations periodically to disconnect services you no longer use.
